BHAA Rules & Conditions

Below you will find the Rules & Conditions for all Tenants in full.  

Any changes to our Rules made at committee meetings during the year will be ratified at the AGM.

1. The name of the Association shall be THE BONFIRE HILL ALLOTMENT ASSOCIATION.

2. The objects of the Association shall be:

(i) To promote the interests of all members in gardening activities and to take joint action for the benefit of members.

(ii) To conduct negotiations with the local authority for the use of gardening land.   

(iii) To take action to protect members against damage, trespass and theft.

(iv) To obtain a supply of seeds from a discounted source on an annual basis, on behalf of members.

(vi) Co-operating with other gardening associations and environmental organisations in matters of mutual interest.

3.MEMBERSHIP.   The Association shall consist of such persons whose applications are approved by the Elected Officers as Members.  Only fully paid up plot holders and officers shall be eligible to vote at Association meetings. .

Membership of Bonfire Hill Allotment Association includes affiliation to a national allotment association.   It shall be a condition of membership to agree to have personal contact details forwarded to that association.

It shall be a condition of membership that the allotment plot be kept free from weeds, in a proper state of cultivation and that the pathways between the plots are kept clear. Members are responsible for maintaining and cutting the paths on the northern and eastern edges of their plot.

4. INSURANCE. It is a requirement that all named plot holders have 3rd party public liability insurance.

Any person visiting or working on the site does so at the request of the named plot holder, who shall be deemed responsible.

Additional insurance may be obtained for friends/ family through becoming a fully paid up member of this association.

Employers Liability Insurance, paid by BHAA, shall be held in the name of the Chairman and Secretary.

5 SUBSCRIPTION   Every member shall pay on entry into the Association an annual subscription including affiliation to a national association and insurance, to be reviewed at each AGM renewable on 1st January each year.

6. ARREARS   Any member who is one month in arrears with his/her subscription shall         be held to have ceased to be a member, unless explanation is given to the Elected Officers of extenuating circumstances.

7. OFFICERS   The Officers of the Association shall be a Chairman, Vice Chairman, and a Secretary/Treasurer.  They shall be elected at each Annual General Meeting. Retiring Officers shall be eligible for re-election.

8. MANAGEMENT   The day-to-day management of the Association shall be conducted by the Officers.  Matters of substance, including any alteration to these rules, are to be decided by a majority vote of eligible members.

9. GENERAL MEETINGS   The Annual General Meeting shall be held in September or as soon after as possible.  Five members shall form a quorum.  At the meeting the accounts and Secretary’s Report shall be submitted and the Officers for the ensuing year shall be elected.  Special General Meetings shall be called upon the requisition to the Secretary of at least three members.  No party-political or sectarian discussions or resolutions shall be raised or proposed at a General Meeting.

10. GREEN HOUSES, POLY TUNNELS AND SHEDS. Members must apply to Salcombe Town Council for permission to erect permanent structures.  It is the policy of BHAA to support structures up to 4 feet in height.
